Junior Wedding Coordinator
About the role
As a Junior Wedding Coordinator, you will work alongside the Lead Planner/Owner to support weddings and special events throughout the season. You'll gain behind-the-scenes experience in planning, logistics, client service, vendor management, and event execution.
What you'll be doing
No two wedding days are exactly the same, but you'll typically be helping me:
-
Turn a vision into reality by helping set up ceremony and reception spaces
-
Keep wedding days running smoothly by managing timelines, vendors, and all the little details couples never even realize are happening behind the scenes
-
Be the calm in the chaos when plans shift, timelines move, or Aunt Susan can't seem to find her seat
-
Help with décor setup, signage, guest experience, and all the finishing touches that make a wedding feel special
-
Support couples, wedding parties, families, and vendors throughout the day
-
Run the occasional last-minute errand, solve unexpected problems, and generally become a wedding-day superhero
You might be my right-hand person if...
-
You genuinely love weddings
-
You're the friend who colour-codes spreadsheets, creates travel itineraries for fun, or always seems to know what's happening next
-
You can stay calm when everyone else starts to panic. Staying cool as a cucumber is a must!
-
You're professional when it matters, but also know how to have fun
-
You don't wait to be told what needs to be done. Proactive vs. reactive!
-
You're charismatic and comfortable talking to just about anyone, from photographers and florists to nervous parents and excited newlyweds
-
You care about the little details because you know they're often the big details
-
You're interested in building experience in the wedding and events industry
Availability & Travel
This role is best suited for someone based in Ottawa or the surrounding area, as most weddings and event-related activities take place within the region.
-
The 2027 season is expected to include approximately 3-5 weddings for you, primarily between June and September.
-
Most weddings take place on Saturdays, with rehearsals on Fridays. There is also a Thursday wedding in 2027, so weekday availability would be considered an asset. Event dates will be shared upon hiring.
-
Some weddings may require travel and occasional overnight stays of up to two nights. The days can be long, but they're filled with learning opportunities, industry connections, and plenty of memorable moments along the way.
Open to hiring more than one person for the season. If only certain dates work for you, don't let that stop you from applying!
What You'll Gain
-
Real wedding-industry experience
-
Hands-on mentorship and guidance from an experienced planning professional
-
A behind-the-scenes look at what it really takes to coordinate successful events
-
Opportunities to grow your confidence and responsibilities over time
-
Potential opportunities to take on day-of coordination contracts independently in the future
-
Stories you'll probably tell for years
As trust, experience, and skills develop, there may be opportunities to independently coordinate weddings while representing the brand and experience my clients have come to expect.
I'm looking for someone who is reliable, kind, adaptable, and excited to learn. Wedding days can be long, busy, emotional, and incredibly rewarding. If you're the type of person who loves a good checklist, isn't afraid of a little hustle, and gets excited seeing months of planning come together in one beautiful day, I'd love to hear from you.
